Inspector Timeliness Report V2

This report integrates the data from the Actual Submit Dates and the old Inspector Timeliness Report. The report includes the following data fields and their uses:

The Info Tab provides information on the coverage of data points in the report (Start and End Dates), and the date the report was generated.

Columns A - BD: These columns display data as provided in the original and revised versions of nominations, enabling users to review nomination details directly within the report. Additionally, the report includes a feature that converts timestamps to either NI Local Time or Inspector Local Time, reducing the need for manual time zone conversions and supporting consistent analysis across regional contexts.

Columns BE - BR: These columns have applied formulas to columns A-BD to generate insights seen in the Analysis Summary Tab. 

  • Filter - Scheduler Delay - Original Nomination Issued "Before or After" Allfast (Local Time)
  • Filter - Scheduler Delay - Original Nomination Issued "Before or After" Hoses Disconnected (Local Time)
  • Filter - Latest - Time To Confirm (TTC)
    • If either Sent or Received for Confirmation fields are missing, the report will yield "Missing both confirmation entries". 
  • Latest - TTC (days) - Delta - Received Confirmation vs Sent for Confirmation
  • Filter - Earliest - Quantity Time To Submit (TTS)
  • Earliest - TTS (days) - Delta - Quantity Submitted vs Hoses Disconnected

Analysis Summary Tab


Important Note: Upon filtering for specific scenarios or viewing YTD data on the pivot table, please refresh the report to ensure the pivot table factors all calculations and data points for the dates specified. Users can refresh the report following these steps:

  1. Click anywhere on the pivot table,
  2. Navigate to the Data tab in Excel
  3. Refresh All 


Filters

The above filters can be used to reflect an updated pivot table for specific scenarios (ie. specific Inspection Company, Grades, Active Shore Tank movements only, or Quantity Basis on Tank only). After selecting the desired criteria, ensure the report is refreshed using the steps above. 


Pivot Table


The pivot table shows ATTS divided into 3 categories, where time to submit is: 

  • <2 days 
  • 2-365 days
  • >365 days (ATTS Quantity Issue)


For the following example of how to use the pivot table, we will use a report generated for the months Jan (1) - May (5) 2025, focusing on the section where ATTS Quantity <2 days. All data shown in this example is fictional for illustrative purposes only. It does not reflect any actual client information or real world transactions. 



The orange box shows a scenario from January 2025, where 64% of nominations (representing 200 total cases) were submitted in 1.7 days (measured from Hoses Disconnected to Quantity Submitted). Of this duration, 0.9 days were attributed to the Inspector submitting quantities, while the terminal took 0.8 days to confirm the results. This breakdown enables users to more accurately assess Inspector performance and turnaround times, supporting data-driven discussions and targeted improvements where necessary. 


The green box summarizes the same data points YTD, where 71.2% of Jan - May nominations (representing 838 total cases) were submitted within an average of 1.53 days. Of this duration, the breakdown of time where results remained with Inspectors vs. Terminal were an average of 0.8 and 0.782 days, respectively. This YTD metric provides a broader view of long-term performance, supporting trend analysis and identifying opportunities for ongoing optimization.
