Preliminary, Original, and Last Submission

Preliminary, Original, and Last Submission times are actions made on the inspection worksheet which as a result, feed into the Actuals Submit Dates report.

Preliminary Submission Load Worksheet:

This is complete and a system-generated email (which can be found on the voyage comm log) will be sent when:


1. The inspector has entered the quantity figures marked with an asterisk

2. The B/L date has been entered

3. The Main Inspector has been added

4. The user has selected "Save as Draft"


NOTE:

If the inspector receives the below message upon saving as draft and they opt for the "save draft" option rather than "fix now", it will not count as the preliminary results submission:



Preliminary Submission Discharge Worksheet:

This is complete and a system-generated email (which can be found on the voyage comm log) will be sent when:


1. The inspector has entered the quantity figures marked with an asterisk

2. The Outturn date has been entered

3. The Main Inspector has been added

4. The fields marked with an asterisk in the Load Port Information section have been filled in

5. The user has selected "Save as Draft"


NOTE:

If the inspector receives the below message upon saving as draft and they opt for the "save draft" option rather than "fix now", it will not count as the preliminary results submission:


You can check and make sure that the preliminary results have been successfully submitted by clicking on the comm log and looking for the notification "NOTICE OF PRELIMINARY INSPECTION QUANTITIES"





Original Submission: When the inspection worksheet is submitted by the inspection company (the worksheet has its quantity AND quantity submitted)

Last Submission: The last date that the inspection worksheet was submitted. Sometimes an inspection worksheet can be retested due to an entry error (or various other reasons) and then the system stamps this with the last submission date.
